The Media Policy outlines Indoor Hockey UK practices with respect to photos, videos and any other media captured at our events by appointed photographers and videographers

Indoor Hockey UK Ltd. (“Indoor Hockey UK”, “we”, “our”, or “us”) may capture photographs, video, audio recordings, and livestream footage at our events and activities. This policy explains how such media is collected, used, stored, and shared.


This policy applies to all competitions, events, courses, livestreams, and services delivered by Indoor Hockey UK Ltd. and should be read alongside our Privacy Policy.


This policy relates only to media captured by Indoor Hockey UK or our appointed media partners. It does not apply to recordings made by spectators or participants for personal use.

What Media We Collect

  • action photographs of participants and officials
  • team photographs or staged photoshoots
  • video recordings of matches or ceremonies
  • livestream footage of matches or event activity
  • audio recordings or commentary associated with events


In some cases, we may link media to your name, role, team, or club for identification or administrative purposes.

Livestreaming of Events

Some matches or activities may be livestreamed online or broadcast via third-party platforms.


Livestreams may include:

  • video of players, officials, and spectators within the field of play
  • match commentary
  • scoreboards, team sheets, or player names where part of the event presentation


Livestreams may be recorded and retained for replay, highlights, or archival purposes.


Where livestreaming takes place, we will normally provide notice in advance through event information, venue signage, or announcements.

How We Use Media

We use media and livestream recordings for legitimate organisational purposes including:

  • promoting indoor hockey and our events
  • broadcasting or streaming matches
  • reporting on competitions and results
  • marketing and publicity
  • educational or training materials
  • historical and archival records


Media may appear on:

  • our website or social media channels
  • livestream platforms or video hosting services
  • printed publications or promotional materials
  • press or broadcast media
  • event displays or highlight reels


Where we wish to identify you personally (for example by naming you, tagging social media accounts, or using close-up images for targeted promotion), we will normally seek consent.

Lawful Basis for Processing

We process event media and livestream footage primarily under our legitimate interests in:

  • documenting competitions
  • promoting the sport
  • providing event coverage


Where required, we rely on consent, particularly for:

  • close-up portrait images
  • personalised marketing uses
  • publication of names with images outside normal match reporting
  • certain uses of images involving children

Sharing Media & Livestreams

We may share media or livestream recordings with:

  • affiliated sporting bodies or governing organisations
  • sponsors or event partners
  • professional photographers, videographers, or streaming providers
  • press or broadcasters reporting on our events
  • online platforms hosting livestream or replay content


Such sharing will be limited to purposes consistent with promoting indoor hockey or reporting on our activities.

Retention of Media

Media and livestream recordings may be retained for as long as reasonably necessary for promotional, historical, archival, safeguarding, or administrative purposes.


Where content is no longer required or appropriate to retain, it will be securely deleted.

Children & Safeguarding

We recognise that many participants are under 18 and take additional care when capturing or broadcasting media involving children.


Parents or guardians may contact us to raise safeguarding concerns or request removal of specific images or footage where appropriate.

Your Rights

Where media constitutes personal data, you have rights under UK data protection law, including the right to:

  • request access to media featuring you
  • request correction of inaccurate information linked to media
  • object to certain uses
  • request deletion in appropriate circumstances
  • complain to the Information Commissioner’s Office (ICO)


Requests will be considered in light of our legitimate interests, archival needs, and legal obligations.
